Privacy at HeathClean.
This notice covers our public website and how we respond to contact, presentation and demo enquiries. We use your contact details to answer your question and communicate with you about it. We do not use these details for newsletters or advertising.
1. Who is responsible?

2. Which data do we use?
For an enquiry, we use your name, organisation, email address, optional phone number, selected enquiry type and message. The phone number is optional. Do not share sensitive personal data or information that is not needed to answer your question.
When you click ‘Send’, the completed fields are sent to FormSubmit over a secure connection. This form service processes your enquiry and delivers it by email to info@heathclean.nl. We do not store the data in our own website database. You can also email or call us directly.
3. Purpose and legal basis
We use your data solely to assess your enquiry, answer your question and contact you about a presentation, demo or possible assignment. If your enquiry concerns preparing a contract with you as an individual, the legal basis is taking steps at your request before entering into a contract. For business contact on behalf of an organisation or a general question, we rely on our legitimate interest in handling requested communication. We limit processing to the data needed for that purpose.
4. How long do we keep data?
We retain your enquiry and related correspondence for as long as needed to deal with the question and conclude the resulting communication. If no assignment follows, we stop retaining the data once the enquiry is closed and further contact is no longer reasonably expected. You may request deletion earlier; we assess whether a valid reason for retention remains.
If an enquiry leads to an assignment, we retain only the data needed for delivery, administration and any legal claims. Accounting records subject to Dutch statutory tax retention requirements generally have to be kept for seven years. This requirement does not automatically apply to every contact enquiry.
5. Who may receive data?
HeathClean staff handling the enquiry may access the data. FormSubmit receives the completed fields and technical data such as your IP address to process and deliver the message and limit spam. According to its documentation, FormSubmit retains submissions for 30 days, even if the receiving address still needs activation. Read the FormSubmit privacy policy. Hosting, email and technical security providers may process data to deliver those services. We do not sell your personal data or share your enquiry with advertising companies. If data is needed for a specific requested service, we discuss the relevant collaboration with you.
6. Website visits and security
When you visit the website, technical data such as your IP address, requested page, time and browser information are processed by the hosting infrastructure to deliver and secure the site. Our interest in keeping the website secure and available is the legal basis. Technical data is retained only as long as needed for operation, security and handling any incidents.
We restrict access to received enquiries to those who need to handle them and take appropriate technical and organisational measures to prevent unauthorised access. HeathClean does not use its own advertising trackers or analytics script on this public website. We store your privacy choice, the version of the consent text and the timestamp locally in your browser for up to six months, solely to remember your preference. If you clear browser storage, we ask you to choose again. We do not make solely automated decisions about you or use your enquiry for profiling.
7. YouTube, LinkedIn and other external services
The central privacy choice allows you to enable YouTube videos and/or live LinkedIn posts through the RSS connection. The corresponding external content loads only after consent. You can accept, reject or make your own selection and change it at any time using Privacy settings. Until then, your browser does not request these external players or the news feed. Photos, comparison maps and our own background videos are served from this website.
After your choice, Google/YouTube or LinkedIn and RSS.app receive technical data, including your IP address and browser information. These platforms may process data for their own purposes and use cookies or other storage. Processing may take place outside the European Economic Area. Their privacy policies describe storage, transfers and safeguards: Google, LinkedIn and RSS.app.
Submitting the contact form connects to FormSubmit. This service may process technical data for sending and spam checks; the form route uses an external spam check and sends a receipt confirmation to the email address you enter. FormSubmit processing and any transfers are also covered by the privacy policy linked above.
You can withdraw consent for YouTube and LinkedIn/RSS.app in Privacy settings. Reject all stops both on the page. Your privacy choice is remembered on this device for six months and applies to every page. Disabling content stops new requests from the page but does not remove cookies already placed by a platform; you can manage those in your browser. Withdrawal does not affect the lawfulness of earlier processing.
Google Maps, LinkedIn profiles, the client portal and other external links open only when you click them. The privacy rules of the destination then apply. This website does not load a Google Maps map automatically.
8. Your rights
You may request access, correction, deletion, restriction or, where applicable, transfer of your personal data. You may object to processing based on our legitimate interest and withdraw consent for external content. Email your request to info@heathclean.nl. We normally respond within one month. If we need to verify your identity, we request only the information necessary to do so.

9. Changes
If our services or processing on this website change, we update this notice. The date above shows when it was last updated.
